Job Summary:
The office administrator will work to provide support for all areas of the business. They will focus on maintaining general administrative duties, accounts payable, accounts receivable, licensing and other duties as assigned.
General Office & Management Administration
- Manage and organize office supplies
- Handle office shipments and deliveries
- Manage off-hour customers and sales inquiries
- Manage customer service response to inquiries, issues and requests
- Handle incoming general email inquiries and phone calls
- Organize incoming bills and invoices
- Process AP/AR
- Maintain budget
- Handling ecommerce order fulfillment
- Localized support for the company’s HR generalist
- Staff hiring coordination and job listings on job sites and website
- Staff onboarding, training, and documentation
- Managing employee alcohol training and documentation
- Administer and maintain company positive workplace training and anonymous reporting platform
- Coordinate can label ordering, approvals and fulfillment
Licensing and Compliance
- Handle all TTB COLA label approval
- Handle all TTB formula approval as needed
- Handle all Municipal and State compliance and licensing for offsite events
- Apply for and manage out of state alcohol licenses
- Manage out of state label registrations
- Get COIs for offsite events from insurance provider
- Apply for one-day alcohol licenses from various municipalities when needed for offsite events
- Handle all local, state, and federal licensing and permit applications, renewals, and management, and all accompanying paperwork
- Attend license hearings when needed
- Coordinate onsite municipal inspections
- Calculate and pay MA Meals Tax, MA Sales Tax
- Report and pay out of state taxes for DTC sales and wholesale
